Job Description

We seek to hire a Project Coordinator in our Virginia Beach, VA or Raleigh, NC offices who will be responsible for assisting the project managers and estimators in many facets of the construction process. This is a position that has various responsibilities associated with operating a small construction company.

General responsibilities include but are not limited to the following:

  • Assist Project Managers and Estimators in organizing our ongoing projects and upcoming opportunities.
  • Assist in monitoring project plans, schedules, work hours, budgets and expenditures.
  • Assist Project Managers in collecting and submitting to applicable parties submittals, RFI’s and other project documents.
  • Support the Project Managers in developing project templates and other documents necessary for the project operations.
  • Assist in development of project proposals and pricing of proposals. Including soliciting subcontractors and suppliers for proposal prior to the submission time.
  • Support development and tracking of logs for contracts, insurance, warranty and rework logs.
  • Assist in processing of subcontractor payment applications and contacting subcontractors in tracking down the invoices for monthly billing. Include review of subcontractor insurance certificates and release of liens for compliance with established policies and procedures.
  • Input and entry of data into Project Management Software (RedTeam)
  • Review of time sheets and labor entries.
  • Support the team in development and distribution of close out packages, record drawings and other project control functions.
  • Entry of accounts payable vouchers, proper project assignment, weekly payment processing of vouchers.
  • Work with subcontractors to ensure we have accurate and complete pay applications.
  • Obtain and maintain W9 forms, certificates of insurance and release of liens (where applicable).
  • Reconciliation of corporate credit cards (WEX, AMEX & VISA).
  • Process expense vouchers and expense advances for employees, including review of allowable/non-allowable expenses per IRS guidelines.
  • Process cash receipts and assign them to correct projects.
  • Prepare sales and use tax filings in applicable states.
  • Assist Project Managers with any client invoicing and payment issues.
  • Process employee payroll in Ultipro. Ensure employee timesheets in Red Team are accurate and linked to Quickbooks.
  • Prepare monthly bank reconciliations.
  • Monthly reconciliation of AR, AP, Retainage balances between Quickbooks and Red Team.
  • Assist Controller with quarter end closing and research any discrepancies between Quickbooks and Red Team.
  • Providing data entry, copying, scanning, printing and other general administrative support functions as needed in support of the President.

Education

  • Associate’s Degree required
  • Bachelor’s Degree preferred

Software Skills

The Accounting Specialist should be able to effectively utilize company software programs for e-mail and information management. Current programs include:

  • Quickbooks (On line version)
  • Red Team
  • MS Excel (advanced skills strongly preferred)
  • Acrobat/Bluebeam

Career Experience

The Accounting Specialist should have an Associate’s Degree with 5 years of general accounting experience or 4-year Bachelor’s Degree with no less than 2 years of experience.
