Job Description

We seek to hire a Specification Specialist in our Virginia Beach, VA or Macon, GA offices who is part of an administrative team responsible for supporting a large architectural and engineering firm.

General responsibilities include but are not limited to the following:

  • Primary Task involves word processing text and hard copy edits to “SpecsIntact” and “MasterSpec”
  • Preparation of documents for use in bidding and construction
  • Typing general correspondence, memos and letters
  • Greet clients and occasional backup to the receptionists
  • Prepare project notebooks, and presentation binders, using Microsoft Word, Excel, Outlook, Power Point and construction specification software
  • Filing and retrieving various corporate, contract, and construction documents, records, and reports using established filing system and Newforma project management software
  • Attending various project and department meetings, taking detailed notes, and preparing meeting minutes
  • Opening, sorting, and distributing incoming correspondence, including faxes, mail, email, and intra-office communications
  • Providing word-processing, data entry, copying, scanning, printing and other general administrative support functions as needed in support of the Administrative Manager, company Principals, Project Managers, design team members, and other departments within the firm
  • Assisting with shipping and receiving packages
  • Other tasks, as assigned

Education

Candidate must have the following:

  • High School Diploma or GED is required

Additional consideration may be given for:

  • Associates degree or certificate in administrative support or business-related field
  • Post high-school education

Licenses, Certifications and Accreditations

Additional consideration will be given for candidates who have the following:

  • Certified Microsoft Office
  • Certified Design Firm Administrator (CDFA)
  • Certified Administrative Professional (CAP)

Software Skills

Candidate should be proficient in the following software programs:

  • MS Word
  • MS Excel
  • MS Outlook
  • MS PowerPoint

Additional consideration will be given to candidates who have experience with the following:

  • Adobe Acrobat
  • MS Access
  • Deltek Vision
  • AIA Contract Documents
  • MasterSpec
  • SpecsIntact (Advanced Skills Strongly Preferred)
  • Newforma Project Center

Career Experience

Candidate should have at least 3 - 5 years of administrative support experience.  Additional consideration will be given to candidates who have prior experience working in an architectural, engineering, or construction firm.
