Job Description

We seek to hire a Project Manager Assistant in our Macon, GA office who will be responsible for assisting Project Managers and/or the Principal in Charge with the administrative and financial management of multi-discipline design projects.

General responsibilities include but are not limited to the following:

  • Assisting the Project Manager with the preparation and subsequent administrative processing of Fee Proposals and Contract Documents
  • Processing of construction administration submittals utilizing contract administration software
  • Assisting with the preparation of RFQs and proposals
  • Assisting with the preparation and tracking of monthly invoices to clients
  • Assisting with the processing of invoices from subconsultants for payment. Assisting in preparing monthly invoice and consultant liability projections and other financial reports as requested
  • Establishing, updating, and maintaining project planning information in Planifi, the company’s project management software (resources, budgeting, etc.)
  • Coordinating daily staff activities with clients and other 3rd parties.
  • Preparing various project management reports and assisting the Project Manager with training and vacation schedules of project staff
  • Preparing for and participating in monthly project review meetings
  • Maintaining project data flow and communication using Project Management software.
  • Assisting project team members with travel arrangements as requested.
  • Assisting with maintaining, packaging and shipping project submittals.
  • Attending project kickoff meetings and others as required
  • Providing general administrative support as requested by Project Managers and Principals
  • Communicating with clients, design team members, and others as required

Education

  • A high school diploma or GED equivalent is required
  • Post high-school education in the following subjects is desirable:
    • Business Administration
    • Office Administration
    • English
    • Accounting
    • Bookkeeping
    • Financial or Statistical Analysis
  • Associates or Bachelors Degree in a business/accounting/finance-related field is desirable

Licenses, Certifications, and Accreditations

Additional consideration will be given for candidates who have obtained the following certifications:

  • Certified Design Firm Administrator (CDFA)
  • Construction Documents Technologist (CDT)

Software Skills

A Project Manager Assistant should be able to effectively utilize current company software programs for word processing, e-mail, and information management. Current programs include:

  • MS Word
  • MS Excel
  • MS Outlook
  • MS PowerPoint

Experience in the use of the following programs is desirable:

  • Deltek Vision
  • AIA Contract Documents
  • Newforma Project Center
  • Planifi Project Analyzer

Career Experience

A Project Manager Assistant should typically have a minimum of 4-6 years of administrative, accounting, and financial management experience.

Previous administrative experience in an architectural, engineering, or construction firm may be given additional consideration.

  • Be knowledgeable with all office equipment: computers, copiers, printers, scanners
  • Have strong organizational skills and the ability to multi-task
  • Ability to prepare effective, concise, and grammatically accurate documents.
  • Ability to communicate effectively with senior-level management and design team members
